General Information

Wedding Coordinator

A professional, pre-approved wedding coordinator is required for all rehearsals, ceremonies and receptions. For your convenience, we have a list of wedding coordinators we value, trust and recommend.

Guarantee

We ask a guaranteed final attendance of your function (14) days prior to the event so that we may make final arrangements. For your convenience, we will prepare to serve 5% over the guaranteed number for plated entrees only. If we do not receive a final guarantee, we will consider the number indicated on the original Wedding Agreement to be the correct and guaranteed number of guests. This guarantee is not subject to reduction after the (14) day deadline.

Food Service

Capistrano’s is responsible for the quality and freshness of the food served to its guests. Therefore, we do not allow food from outside sources. Due to current health regulations, food may not be taken off the premises after it has been prepared and served.

Deposits

An initial $3000 non-refundable deposit, along with a signed Wedding Agreement is required to reserve your preferred wedding date. A second deposit of 50% of the minimum guaranteed attendance is due (90) days prior to your scheduled event date. Final balance is due in the form of a Cashier’s Check or Money Order (10) days prior to your event. All deposits will be applied to your final balance. Personal Check or Credit Cards will NOT be accepted as final payment. Ballroom space is booked on a “First Come, First Serve” basis.

Service Charge and Sales Tax

Prices do not include Service Charge or State Sales Tax. Please note that California Law stipulates that the service charge is taxable. All prices are subject to change without notification.

Your Wedding Questions…Answered



Here at Capistrano’s Restaurant & Catering at the Embassy Suites Mandalay Beach Resort, we realize that planning weddings can be a little confusing at the beginning. We invite you to take a look below at some of our most frequently asked questions, and encourage you to contact us for further information.



What is the average cost for a wedding at your resort?
Price varies depending on a number of factors, including time of year, lunch/dinner event, etc. Ceremonies generally start at $3400 and Receptions generally start at $54 per person. All prices are subject to a 20% Service Charge and California Sales Tax.

What times do you allow Weddings?

On Saturdays we have a 10am ceremony with a reception immediately following until 4pm. Later in the day, we have a 5:30pm ceremony with reception immediately following until 11:30pm. Friday and Sunday events have a flexible start time.

Do you provide a Wedding Planner?
Capistrano’s Catering Team is pleased to assist you with all of your food and beverage needs. We require that all Wedding Parties hire a “Day of Wedding Coordinator” to handle the final details such as: conducting the Rehearsal, coordinating vendor arrivals (cake, flowers, etc.) putting out place cards, favors, toasting glasses, cake placement, pinning boutonnières, keeping the ceremony and reception on a timeline and coordinating all other “Day of Wedding” details. For your convenience, we have a list of wedding planners on our Preferred Vendor List.

How many people can you accommodate for a Wedding?
We can accommodate Wedding Receptions up to 350 guests.

Do you have a food and beverage minimum?
We do not have a pre-set food and beverage minimum.

Can we book a ceremony only, and not a reception at the resort?
On some occasions, we will allow a ceremony only. Please contact the Catering Department for more details.

Can we book a reception only, and not a ceremony at the resort?

Yes. You can have your ceremony off-site. The Cocktail Hour and Reception would be held in one of our Ballrooms.

Can Ceremonies be held outdoors?

Yes, both of our ceremony locations (South Courtyard & Presidential Lawn) are outside.

Can Receptions be held outdoors?
Your cocktail hour can be held outdoors near your ceremony site (for an additional fee.) However, we do not cater any outdoor Wedding Receptions. All Receptions take place in our indoor ballrooms.

What if we plan an outdoor ceremony and it rains?
We will happily create an alternative for outdoor weddings, and we will work with you to prepare an appropriate contingency plan. Since relocation depends on the day schedule, the number of guests and many other factors, the alternate ceremony location will not be made until the day of the event. In most cases, we can move your ceremony to a ballroom.

Do you have suggestions for photographers, florists and other vendors?

Our list of Preferred Vendors is made available to all wedding parties, and is available on our website or via email from the Catering Department. These are our recommendations; you are welcome to work with the vendors you choose. If your vendors are not on our Preferred Vendor List then we will need a copy of their business license and proof of insurance.

Do you allow outside Catering?
Outside Specialty Catering is allowed with approval from the Director of Catering. A per person charge still applies to cover use of the ballroom, tables, chairs, linens, etc. Please contact the Catering Department for pricing and details.

Do you have Children’s Menus?

Yes, children’s menus are available for those under 10 year of age. Children are typically half price of the adult price.

How does the Bar & Beverages work?
We offer full bar service with your own private bartender and bar for your Wedding Reception. Hosted Bar Packages are available, which are charged per person/per hour. We can also provide a cash or no-host bar (guests pay for their drinks). Please refer to our Wedding Menus & Pricing for complete details.

Can we bring in our own alcohol?
Due to our liquor license, you are only permitted to bring in bottles of wine or champagne for your reception. Any wine or champagne that you choose to bring in is subject to a $20 per bottle corkage fee.

Does the resort offer parking?
Self Parking is available on-site in the resort’s parking structure. The charge is $6 per car for self parking. Valet Parking is also available for $8 per car. You can choose to host (pay for) your guest’s parking charges or guests pay on their own upon arrival.

Can we reserve a block of rooms for our guests?

When you book your wedding date with us, we automatically add you to our resort reservation system. Your guests can call our reservations team and receive a discount when they mention your last names. Discounts are subject to availability. Most weekends have a 2 night minimum stay and holiday weekends have a 3 night minimum stay. There is no need to sign an additional contract for a block of rooms.

How do I reserve a Wedding Date?
You will need to sign a Wedding Contract. A $3,000 non refundable deposit is required at time of signing. Deposits can be made by check, cash or credit card.
